Alchemic Space (“we”, “us”, “our”) respects your privacy and is committed to protecting your personal data. This Privacy Policy explains what information we collect when you use this website or book a session, how we use it, and the rights you have under the General Data Protection Regulation (GDPR) and applicable Dutch law.

1. Who we are (Data Controller)

Alchemic Space is a holistic wellbeing practice based in Den Haag, the Netherlands, offering Reiki, breathwork and related practices. We are the data controller responsible for your personal data.

2. What information we collect

We collect the following categories of personal data:

  • Information you give us through the contact / booking form: your name and surname, email address, phone number, the session you are interested in, your preferred date, and any message or details you choose to share.

  • Communications you send us by email, phone or WhatsApp, and our replies.

  • Booking and session details needed to organise and follow up on your appointment.

  • Technical and usage data collected automatically through cookies and the Wix platform, such as your IP address, browser type, device information and pages visited. See our Cookie Policy for details.

3. Sensitive (special category) information

Because our work concerns wellbeing, the free-text fields of our form, or messages you send us, may reveal information about your health, emotional state or similar matters. Under Article 9 GDPR this is “special category” data and receives extra protection.

We only process such information where you have voluntarily provided it and given your explicit consent, and solely to prepare for and conduct your session safely and appropriately. We ask that you do not share more sensitive detail than is necessary, and we never require it.

4. How we use your information and legal bases

We process your personal data on the following legal bases under Article 6 (and, where relevant, Article 9) GDPR:

Where we rely on consent, you can withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal.

5. Cookies

This website uses cookies and similar technologies. Detailed information about the cookies we use and how to manage them is set out in our Cookie Policy.

6. Who we share your data with

We do not sell your personal data. We share it only where necessary, with:

  • Wix.com Ltd — our website platform and hosting provider, which processes data on our behalf (including form submissions and technical data). See the Wix Privacy Policy.

  • Google (Gmail / Google Workspace) — our email provider, used to receive and respond to your messages.

  • Professional advisers and authorities — where required to comply with a legal obligation.

These providers act as our processors under appropriate data-processing terms, or as independent controllers under their own policies.

7. International transfers

Some of our service providers may process data outside the European Economic Area. Where this happens, the transfer is protected by appropriate safeguards, such as the European Commission’s Standard Contractual Clauses or an adequacy decision, so that your data continues to receive an equivalent level of protection.

8. How long we keep your data

We keep your personal data only for as long as necessary for the purposes described above:

  • Enquiries that do not lead to a booking: typically deleted within 12 months.

  • Client and session records: kept for the duration of our relationship and a reasonable period afterwards.

  • Accounting and tax records: kept for the period required by Dutch law (generally 7 years).

When data is no longer needed, we securely delete or anonymise it.

9. How we protect your data

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or misuse, and we rely on the security measures provided by our platform and email providers. No method of transmission over the internet is completely secure, but we work to keep your information safe.

10. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you;

  • request correction of inaccurate or incomplete data;

  • request erasure of your data (“right to be forgotten”);

  • restrict or object to our processing;

  • request the transfer of your data (data portability);

  • withdraw consent at any time, where processing is based on consent.

If you believe we have not handled your data properly, you have the right to lodge a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens(autoriteitpersoonsgegevens.nl).

11. Children

Our services and this website are intended for adults. We do not knowingly collect personal data from children under 16 without the consent of a parent or guardian. If you believe a child has provided us with personal data, please contact us so we can remove it.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated “last updated” date. We encourage you to review it periodically.
